This is an original procurement worksheet for organising a laboratory’s questions. It is not a supplier certification or a validated scoring system. AUS Peptide Supply is a commercial supplier; apply the same questions to our records as to any other supplier’s.
Define the material before comparing suppliers
Start with the exact compound, form and quantity your method requires. A shared abbreviation is not enough to establish identity. If a name is ambiguous, record the sequence, modification or other identifiers needed to resolve it. The identity and evidence glossary explains the distinctions to carry into your enquiry.
Copy the evaluation worksheet
Download the blank supplier-evaluation worksheet (CSV). Open it in a spreadsheet, duplicate the rows for each supplier and keep the evidence URLs with the decision. The table below is the same checklist for reading without a download.
| Area | Question to resolve | What to record |
|---|---|---|
| Identity | Is this the exact material the method requires? | Name, form, sequence or distinguishing identifier; source record |
| Traceability | Can the product and report be matched to a batch? | Batch, report ID, laboratory and analysis date |
| Analytical scope | Which properties were measured? | Test, method, result, units, limits and untested properties |
| Quantity | What is the reporting basis for the amount? | Labelled mass, measured content if available, presentation |
| Handling | Are preparation and storage conditions documented? | Material-specific instruction, method version and unresolved conditions |
| Delivery | Does the supply arrangement fit the project? | Availability, lead time, freight, transport requirements and process for deviations |
| Commercial record | Can the quote be reproduced? | Supplier contact, dated quote, discount eligibility and total charges |
| Decision | What remains unresolved? | Accept, hold or decline under your own procedure; owner and next action |
Use evidence states instead of a fake precision score
For each field, mark documented, partly documented, not supplied or not applicable. Add the reason. These are record states, not grades of supplier quality. A total such as “92/100” can hide a single unresolved identity issue that matters more than several completed administrative fields.
Set acceptance criteria through your laboratory’s own process. The worksheet does not decide whether a material is suitable for an experiment; it makes the information behind that decision easier to inspect.
A fictional completed worksheet
All names, records and prices in this example are invented. They describe no real supplier or tested material. Worksheet example v1.0, 17 September 2026; maintained by the APS editorial team, next review 17 December 2026.
| Field | Recorded evidence | State and next action |
|---|---|---|
| Identity | Quote says “Compound X”; no form or sequence | Partly documented: request molecular specification |
| Traceability | Report EXAMPLE-R1 names sample EXAMPLE-S1; no link to quoted stock | Partly documented: request batch-to-sample link |
| Analytical scope | Fictional 98.5% area result; no content assay | Partly documented: content remains unknown |
| Handling | No material-specific handling record supplied | Not supplied: request conditions and method version |
| Cost | Fictional listed price AUD 100, conditional 10% discount, freight unknown | AUD 90 before freight if eligible; delivered total unknown |
| Decision | Identity, traceability and delivery unresolved | Hold: fictional reviewer requests missing records before comparison |
Download this fictional worked example (CSV). To reproduce it, carry each quoted field into the blank worksheet, retain “unknown” where no evidence exists, and calculate only the supported subtotal: 100 × 0.90 = 90. The methods reference helps identify the missing tests.
A worked example of an unresolved field
Suppose two hypothetical quotes use the same short compound name. One supplies a document that distinguishes the molecular form; the other provides only the name. Record the second identity field as partly documented and request the missing distinction. Do not fill it in using the first supplier’s document or a paper about a similarly named compound.
Likewise, a report with an area-purity result should not be recorded as a quantitative content assay. See how to read HPLC purity before combining those fields.
Compare cost after documenting the material
Use the exact presentation and applicable discount conditions. Keep an unknown freight charge as unknown. Our dated Australian price comparison explains its sample and calculations; it does not establish that a supplier passes your laboratory’s acceptance criteria.
Keep a record that can be revisited
Store the worksheet version, assessment date and responsible person with the source documents. A later price change does not invalidate an earlier dated quote, but a new batch should prompt a check of which documents still apply.
